Create and send an invoice
Short answer
Make a draft under Invoices, add its lines, press Finalize, then Send. Your customer gets an email with a page to pay on.Make the invoice
An invoice is addressed to a customer, and is emailed to the address on their record.
- Open Invoices and press New invoice.
- Choose the Customer. If they are new, press Add a new customer, or fill in the form if you have none yet. You come straight back with them chosen.
- Choose the Currency.
- Set Due in (days). It counts from when you finalise, so a draft left for a fortnight is not already overdue.
- Add a Note to the customer or Small print if you want.
- Tick Let the customer pay part of it if they may pay in instalments.
- Press Create draft.
Add the lines
Under Add a line, choose an item From your catalogue, or Write the line myself. Choose a Tax rate for each line that needs one: Add GST to an invoice explains how. Nothing is owed and your customer sees nothing while it is a draft.
Finalize and send
- Check every line. Finalising cannot be undone.
- Tick I’m sure and press Finalize. The invoice gets its number, and its amounts are fixed.
- Press Send. We email your customer a link to pay.
The page also shows The link the customer pays on, to copy and send yourself, and Open the PDF.
If you made a mistake
- A draft: press Discard.
- A finalised invoice: press Void and raise a new one. It keeps its number and stays on record.
- A debt you will not collect: press Write off.
Reminders
We email reminders three days before it is due, on the day, and then 3, 7 and 14 days after, until it is paid, voided or written off.
